To accomplish this effort you will require a well-defined action plan. With a help of this checklist you can keep track of the major tasks to take care of when relocating your business to a new place.

1. Inspecting new business location:

  • Make sure that area, dimensions, length and width, height and all other physical features of new premises are sufficient for your business;
  • Make sure that all external features of new location are also suitable for your business: status of the district, easiness of access to transportation routes, sufficient parking place, taxes, etc;
  • Inspect the premises for compliance with fire safety requirements;
  • Define what facilities are available at the place (water, drainage, gas, electricity, etc) and how your company will be charged for them;
  • If something is not available, decide how much it will cost to hook up the necessary resource;
  • If you look at new built premises, then think of what telecommunicational lines you will need for the business, and clarify what lines and providers are available at the new place;
  • Make sure that the new location fully satisfies your business logistics, so it is close enough to your suppliers, partners, key customers, and everything you continually need for prosperity;
  • If the premises still need finishing, repair or certain rework, then estimate how much it will cost;

2. Tasks to complete prior to relocation:

  • If you own the current premises then consider selling or letting them on a lease. If you are a renter then define if the end of your lease will affect the deadline for your relocation to new premises (if you have to relocate your business urgently then negotiate release from the current lease with paying a fee);
  • Set a relocation due date to plan your further activities;
  • Finalize a plan of the new working environment organization;
  • Appoint department coordinators for each department, to be responsible for relocation tasks;
  • Appoint a general coordinator responsible for all phases and tasks on the relocation;
  • Carry out a complete inventory of all furniture, machinery and stationery to be conveyed to the new location. Relocation is a good cause for the big cleaning, so resolutely discard all unwanted office inventory;
  • Define what procedures are necessary to move the existing equipment:
    • If relocation of equipment is supposed to be easy, then decide on how to pack all the devices;
    • If replacement process needs a qualified re-installation, then decide who and how will mount the complex equipment at the new place;
  • Plan the beforehand official announcement of your business relocation to inform your:
    • Staff (if not all of them are already officially notified of the relocation plan);
    • Suppliers;
    • Customers;
    • Partners;
    • Insurers;
  • Contact the phone company to reserve new landline phone numbers or to discuss possibility of transferring the existing ones to new location;
  • If there are any capital corporate decorations available in your premises, then consider whether it will be rational to move the existing ones to be remounted at the new place, or it will be better to order a new revised version;
  • If you relocate because of your business extension, define what furniture and equipment should be additionally acquired. Book everything necessary to be delivered at new location;
  • Contact your telecommunication provider to inform them of all the new lines you will need to be hooked up at new location, and contract the date when you wish them to be operative;
  • Prioritize your business inventory and define an order of how these things will be crated for moving – something you will need until the last moment, while other less important stuff can be seamlessly packed in the first place;
  • Complete negotiations with future landlord (or new location seller if you are going to buy the property), considering available features, place, space, remodeling needs, rework requirements;
  • Create transportation schedule to relocate the business inventory by turns, if appropriate;
  • Contact a local transportation company to book cargo vehicles to service your needs according to your moving schedule (or schedule your own business vehicles, if available);
  • Place orders for printing new business cards, updating advertisements, and other artwork labeled with your business address, phones, etc;
  • Define the staff members to be involved into cleaning new premises, as well as into unpacking and installing the furniture, machinery, etc;
  • Take care of appropriate insurance coverage for the property being relocated;
  • Finish cleaning and preparing new business premises for moving in;
