Project Escalation Checklist:

  • Identify and describe situations that can be applied to your project to reason issue escalation:
    Here are some examples of situations where escalation can be necessary:
    • Resource conflicts that are out of PM’s control;
    • Scope variance, disagreements and creep;
    • A need to consider a trade-off between scope, quality, time, and money;
    • Problems with deliverables that cannot be rectified by powers of the team;
    • Sabotage committed by competitors or any other kind of serious problems;
    • A conflict or problems in the team which needs a competent facilitation;
  • Record each situation as a potential risk threatening the project in the Project Risk Log;
  • Set appropriate priority to each kind of situation to reason its terms of urgency;
  • Make sure every problem will be qualified, raised and responded within sufficient timeframe.

  • Design specific criteria to qualify a problem as worth of escalating to the higher management;
  • It is very important to design workable criteria to screen out any “false alarms”.

  • Ascertain that the project managers has sufficient skills and tools to identify a problem early;
  • Early identification of a growing issue can help to stop its exacerbation by preventive actions.

  • Provide the project manager and his assistants with guidelines to formulate a problem; 
  • The clearer the project executives can state a problem, the faster it can be taken into task.

  • Design Escalation Process that can be used by the project team to raise problems for resolution;
  • The purpose of process is to enable the team members to address issues without encumbrance.

  • Make sure Escalation Process can work in a “regular” mode, but not only urgently;
  • Sometimes problem escalation practice includes monitoring of how the indicated issues behave, but not only necessarily taking immediate responsive actions.

  • Introduce Escalation Process to the team members;
  • View some real examples to enliven formality of documented procedures.

  • Ensure that the team members understand how and when this Escalation Process is to be used;
  • They should feel confidently with the process and be ready to escalate issues promptly.

  • Set reasonable expectations on issue escalation with your team;
  • Deliberate what kinds of problems should be addressed by team members directly to the project manager, and which troubles the PM will send to the project owner for a timely resolution.
