 Project Planning Review.

  • Your project has a formal project plan document approved and signed by the project manager.
  • The next key elements of the project plan are described in clear, unambiguous terms:
    • Definition
    • Goals and Objectives
    • Scope and Deliverables
    • Cost-Benefit Analysis
    • Staffing Requirements, System Requirements and Functional Requirements
    • Major Phases and Project Timeline
    • Risks and Contingency Plan
    • Critical Success Criteria
  • A formal project schedule is established and approved by the project manager. It is shared with the project team and other stakeholders.
  • The project schedule reflects time & date characteristics for activities and tasks listed in project work decomposition.
  • Each task has a specific due date. Individual tasks and jobs within the project work have reasonable durations.
  • Interdependencies within tasks are adequately identified.
  • All stakeholders of your project are identified and a formal stakeholder management plan is developed and approved.
  • All necessary approvals from stakeholders and work groups are obtained.
  • Every stakeholder involved in your project is committed to the project and understands his/her role within it.
  • All communications between stakeholders are made according to a formal communications plan approved and signed by the project manager.
  • A project organizational policy as well as project management standards and procedures are established and identified.
  • An approach and strategy for developing the project are defined and accepted by appropriate stakeholders.
  • Critical Path or equivalent methodology is used to estimate the minimum time required to complete the project.
  • Estimates of funding and staffing resources are available for use during the process.
  • Funding and staffing resources are provided, so the project can be started.
  • Steering Committee is formed and its members are in place.
  • Steering Committee has assigned a group which will supervise project management activities.

Project Management Review.

  • Your project team is assembled and its members are ready to carry out their duties and responsibilities.
  • Members of your team follow their roles and do tasks according to their responsibilities identified in a detailed project plan for the next 4-6 weeks.
  • A structured approach used to break the project work effort down into manageable components is implemented, so individual tasks as well as team to-do lists are developed and assigned to members of the team.
  • Milestones for deliverable monitoring and purpose are effectively tracked and compared to the project plan.
  • Target dates for each milestone are followed.
  • The project proceeds in accordance with the original project schedule. If any deviations occur, appropriate changes are made according to a change management plan.
  • A set of techniques is defined to compare both scheduled and unscheduled activities to the baseline.
  • Project risks are managed according to a risk management plan. A contingency plan is used if required.
  • A mechanism of feedback is used for better work tracking and estimating.

Project Status Reporting.

  • Status of your project is reviewed by senior management at appropriate intervals.
  • A general form is accepted by senior management of the project.
  • A report is used to track the following information:
    • Overall project progress
    • Project performance (achievements & milestones)
    • Current challenges
    • Potential risks
    • Available resources
    • Cost & time performance against planned values
    • Quality metrics
    • Client involvement
  • Regular meetings are held to coordinate the project and discuss its status.
