The project tracking checklist contains guidelines and tips to help you keep your project on track and make sure the project activities meet your expectations and produce deliverables. Use this checklist at your workspace each time when you need to control and monitor tasks, jobs and events of the project.

  1. Tracking project plan.
    • Make sure your project is managed according to your formal project plan.
    • Find out if the formal project plan includes the following key components:
      • Definition and scope.
      • Objectives and responsibilities.
      • Cost/benefit analysis.
      • Team building requirements.
      • Timeline and schedule.
      • Risk analysis.
      • Critical success criteria and metrics.
    • Make sure stakeholders are identified according to the stakeholder management plan (which is an excellent “dashboard” ).
    • Communicate the project plan components to all stakeholders.
    • Find out if your formal project plan includes commitments of team members and stakeholders to the project.
    • Make sure the documented organizational policy (incl. matrix and governance models) exists.
    • Find out if stakeholders have defined, documented and accepted methods.
    • Check if current scope of your project substantially differs from the originally defined scope in the formal project plan. If slight or sharp deviation exists, use methods to make it smaller.
    • Keep track of adherence to project management standards and procedures specified in documents.
    • Make sure Steering Committee is in place and it manages the project according to plan.
  2. Tracking work effort and schedules.
    • Make sure a structured approach is used to break work effort into manageable and measurable components (tasks and jobs).
    • Find out if project work proceeds in accordance with the original project schedule. If project work is out of the schedule, make sure all delays are communicated to stakeholders and solutions to mitigate risks of project failure are developed and applied.
    • Make sure team members are involved in work decomposition and activity development.
    • Find out if reasonable duration has been assigned to tasks and jobs.
    • Allow activity relationships and task interdependencies to be adequately identified.
    • Track project deliverables according to milestones specified in calendar (supervision schedule) . Make sure each deliverable meets its target date.
    • Develop corrective actions and take these actions if actual results substantially differ from expectations specified in the formal project plan.
    • Record all changes in log, so stakeholders and team members can review events and activities occurred during the project.
  3. Tracking project report submission.
    • Use project reporting as a convenient way to review all classes of project work (e.g. scheduled and un-scheduled tasks, defects and failures, etc.) and to compare the work done with the baseline. Also reporting helps design charts and visualize project effort.
    • Make sure your report covers the organization structure of your project and reviews project activities, costs, effort, schedule and budget.
