Task Completion Planning:

  • Formulating the task and its major objectives (it is just necessary to plan specific conditions that identify task completion). Document the completion criteria and approve it as necessary;
  • Designing the task work steps (planning the critical path – sequence of activities that lead to accomplishing the task);
  • Making sure that all activities and steps included into the critical path are formulated in a clear-cut and doable manner (feasibility study);
  • Performing assessment of task performance risks – what negative factors and risks can affect the process on its every step the most likely, and what are probabilities of these occurrences;
  • Scheduling task completion date defined from a realistic consideration, do not set too optimistic timeframes, but pre-plan some reserve time to sort out unforeseen issues and for re-doing some faulty steps;
  • Identifying working sources:

    • Assignments and delegations on the sub-tasks (required skills, expertise, contactors, etc);
    • Budget required to cover all planned activities and assignments;
    • Financial reserves to cope with additional costs;
    • Anything else required;
  • Assembling the task performance team:
    • Hiring and engaging appropriate people;
    • Assigning formal roles to available performers;
    • Introducing people to their duties and responsibilities;
    • Teambuilding and getting commitment (timeframes, missions, goals, etc);
  • Define task execution focus (priority) and find a balance between other constraints:
    • Fitness to pre-planned task target date at all costs (urgent task);
    • Fitness to allotted budget (no more financial reserves available);
    • Fitness to quality requirements (necessity to reach certain quality, while some trade-offs on timing and costs are possible);
  • Finalize and formalize all necessary requirements through stating them in documentation;
  • Introducing work performance format to the team (conception, priorities, etc);
  • Appoint the task beginning date (when to start work), so all engaged resources can be placed in operational readiness;

Putting the Task Execution on track:

  • When the task’s start date is coming up, make a beforehand announcement (reminder) to place everyone concerned on alert: special e-mails, printed notifications, phone calls, etc;
  • Put in place procedures to control workflow and measure the progress over the task in terms of all its significant parameters (compliance of time, budget, quality, etc);
